Overview

The Accounts Payable Manager will manage and oversee the Accounts Payable function, ensuring accurate and timely processing of invoices, payments, and vendor maintenance, as well as providing customer service.  The role involves developing and implementing policies to improve efficiency and effectiveness.  Leading a team of three (two direct reports), the manager’s responsibility is to drive process improvements, and ensure compliance with company policies and regulations. 

Responsibilities

  • Provide leadership and guidance to Accounts Payable staff (two), including training, coaching, performance management and identify development opportunities.
  • Oversee the day-to-day operations of the Accounts Payable function, including invoice processing, payment processing, customer service, and compliance management.
  • Cultivate a positive work environment within the Accounts Payable team, emphasizing teamwork, customer service open communication and a commitment to excellence.  Delegate work assignments and provide continuous direction with scheduled staff meetings.
  • Oversee system management of the Accounts Payable systems (NetSuite) and software, ensuring they are functioning effectively for both in house and financial institution software.  Work with IT and other departments to implement system upgrades or changes as needed.
  • Identify opportunities for automation and technological enhancements to improve the overall AP functions.  Directly work on system and operational projects and implementations.
  • Recommend changes to disbursement policy guidelines and educate staff on policy.
  • Support an effective vendor relationship and monitor to assure vendor records are accurate and up to date and address any issue resolutions
  • Manage the resolution of all disbursement issues and inquiries from departments, vendors and volunteers providing timely resolution.
  • Manage staff that perform year end 1099 and 1096 reporting including vendor management and compliance as well as the collection of proper documentation.   Act as subject matter expert related to reporting requirements and systems to assure compliance with industry and tax regulations.
  • Assist with annual audit and create assigned work papers.
  • Review and approve staff prepared general ledger account reconciliations related to Accounts Payable.
  • Hires, trains, develops, and evaluates direct reports ensuring staff maintain and have opportunity to develop knowledge and skills necessary to drive ISACA’s success as well as their own 
  •  Prepare and analyze Accounts Payable reports for management, providing insights into AP aging.

Qualifications

REQUIRED FIELD OF STUDY:  

  •  Bachelor’s degree in Accounting, Finance, or related field.  MINIMUM YEARS OF EXPERIENCE REQUIRED:
  • 5+ years

DESCRIPTION OF MINIMUM EXPERIENCE REQUIRED:  

  • 5+ years of progressive experience in Accounts Payable/shared services, including 3 years of management, people leadership and performance evaluation.
  • Strong knowledge of Accounts Payable processes, best practices, and regulatory requirements (e.g. 1099/1096 reporting)
  • Proficiency in NetSuite, Avalara 1099 reporting and online financial institution experience.

PREFERRED FIELD OF STUDY:  

  • Bachelor’s in accounting or relevant field or equivalent experience
  • Certified Accounts Payable Professional (CAPP)

PREFERRED YEARS OF EXPERIENCE:  

  • 7+ years

COMPETENCIES/SKILLS REQUIRED:    

  • Strong understanding of system tools (NetSuite, Avalara, Fonteva), able to identify irregularities, document situation and escalate to technical resources and monitor to resolve in timely manner.    
  • A solid working knowledge of Microsoft Word, Outlook and Excel  
  • Knowledge of  NetSuite, Fonteva, Avalara, and Bank of America Cash Pro software products a plus  
  • Knowledge of various payment processing types including, International Wires, ACH, Credit Card, and Foreign Drafts  
  • Demonstrated ability to make sound, independent evaluations and judgments within established policies and procedures   
  • Is able to take initiative in providing new ideas to improve process efficiencies  
  • Strong project management skills  
  • Ability to handle a variety of responsibilities simultaneously and to set priorities in order to complete assignments in an efficient, accurate and timely manner  
  • Takes initiative to identify potential problems and proactively generate ideas for acceptable solutions, then initiate same  
  • High level of integrity in dealing with confidential and sensitive information  
  • Must be detail-oriented, self-motivated and a team player  
  • Proven organizational and communication skills are required
