Position Overview:

More Perfect Union, a progressive media organization, is looking for a Payroll & Benefits Administrator to join our growing team. The role will collaborate closely with our COO, Operations Director, and third-party accountants.

The Payroll & Accounts Payable Administrator plays a crucial role in supporting the Operations Department, ensuring the efficient management of payroll, benefits administration, and accounts payable. This position contributes significantly to the overall efficiency and effectiveness of the organization. The ideal candidate will excel in organizational skills, have a sharp attention to detail, and demonstrate the ability to handle confidential information with the utmost discretion.

Payroll Administration:

  • Enter and maintain employee information in the payroll system, ensuring all required information and documentation are accurate.
  • Work with third party accountants to maintain integrations between payroll and general ledger systems.
  • Remind staff to submit hours and ensure supervisors review timecards in a timely manner.
  • Review timecard coding and support department leads as needed.
  • Prepare and submit payroll reports for approval.
  • Enter and update PTO for designated employees as needed.
  • Triage and respond to notices within the payroll system and escalate as necessary.

Accounts Payable Support:

  • Set up and maintain BILL accounts for employee reimbursements.
  • Manage employee and accounts payable processes and verify internal controls on outgoing payments.
  • Responsible for entering non-production invoices into the accounts payable system accurately.
  • Review and code transactions, attach receipts, and resolve discrepancies.
  • Serve as the primary point of contact for non-production billing questions from external vendors.

Benefits Coordination:

  • Track and process benefits invoices in a timely manner.
  • Ensure that policies are accurately reflected and updated in our systems.
  • Ensure employee enrollment data is accurate across 401k, health, vision, dental, FSA, and other benefits.
  • Escalate benefits queries to leadership as necessary.

Other Key Responsibilities:

  • Assist with general finance administrative tasks as needed.
  • Support the Operations team in organizing and executing initiatives and projects.
  • Help to maintain our systems and ensure data integrity.
  • Adapt to working in a fast-paced, solution oriented environment.
  • Perform other duties as assigned.

Qualifications:

  • Minimum 2-3 years experience in an accounting or finance administration role.
  • Familiarity with payroll and accounting software.
  • Familiarity with internal financial controls.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Ability to handle confidential information with discretion.
  • Ability to work East Coast hours (9am-5pm).
  • Strong problem-solving skills and ability to work independently.
  • Strong communication and collaboration skills.
  • Highly organized, detail-oriented, and capable of meeting tight deadlines.
