How you’ll make an Impact

As the Payroll Specialist you will be responsible for processing payroll, ensuring compliance with relevant laws and regulations, and providing excellent support to our employees. This role requires strong attention to detail, excellent organizational skills, and the ability to handle sensitive information with confidentiality.

Summary of Location and Hours 

  • This is a remote position.
  • Monday-Friday, 8am-5pm CST

What you will be doing  

  • Process semi-monthly payroll for all employees, ensuring accuracy and compliance with company policies and legal requirements.
  • Ensure compliance with federal, state, and local payroll laws and regulations.
  • In-depth knowledge of multistate payroll regulations and compliance.
    Maintain and update employee payroll records, including new hires, terminations, and changes in status into the payroll system (UKG).
  • Calculate and process deductions, benefits, and other payroll-related adjustments.
  • Manage deductions for taxes, benefits, and other withholdings.
  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
  • Determines payroll liabilities by calculating employee federal and state income and social security taxes and employer’s social security, unemployment, and workers compensation payments.
  • Communicates payroll deductions to retirement administrators for 401(k) plans and other pre-taxation savings plans.
  • Coordinate with Finance Team to assist with monthly, quarterly, or year-end calculations of commissions/bonuses and other salary-based compensation.
  • Coordinate with Finance Team for On Call Pay and expense reimbursement.
  • Collaborate with HR and Finance departments to ensure accurate and timely payroll processing.
  • Respond to employee inquiries regarding payroll issues and resolve discrepancies in a timely manner.
  • Participate in audits and provide necessary documentation as required.
  • Assist with year-end payroll processes, including W-2 review and analysis.
  • Maintains employee confidence and protects payroll operations by keeping information confidential.
  • Reviews and responds to payroll tax notices for compliance.
  • Collaborate with payroll tax agencies to maintain employer accounts.
  • Assist with opening new and closing existing state payroll accounts as needed.
  • Continuously seek opportunities to improve payroll processes and systems.

You’ll be successful in this role if you have 

  • High school diploma required; associate’s degree preferred
  • 3 years of previous payroll experience required
  • Proficiency in payroll software (e.g., UKG, Paychex)
  • Proficiency in Microsoft Excel, including pivot tables, VLOOKUP, etc.
  • Strong knowledge of accounting principles and payroll laws and regulations
  • Excellent attention to detail and organizational skills
  • Strong analytical and problem-solving abilities
  • Ability to handle sensitive information with confidentiality
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Excellent data entry skills
  • Deadline-driven
  • Flexibility and adaptability

Required language skills 

  • Ability to communicate professionally, in English, both written and orally
  • Ability to write business correspondence and process procedures
  • Ability to effectively present information and respond to questions from groups of managers, clients, and the general public

Bonus points for  

  • Bachelor’s degree in accounting, Finance, Business Administration, or a related field
  • Fundamental Payroll Certification (FPC) or the Certified Payroll Professional (CPP) a plus

The base pay range for this position is expected to be between $60,000 and $75,000 per year, plus an annual on-target bonus. The base pay offered may vary depending on multiple non-discriminatory factors including, but not limited to, market location, job-related knowledge, skills, and experience. The total compensation package for this position also includes medical benefits, 401(k) eligibility, and PTO. Additional details of participation in these benefit plans will be provided if an employee receives an offer of employment.
